Library

Workspaces

A library of its own for a group in your church, such as the youth or the choir, with its own list of who can use it.

Your church’s library is open to everyone from Team up. A workspace is a second library beside it, for a group that keeps its own songs, decks and services: the youth, the choir, a children’s ministry. Every church starts with its library alone and adds workspaces as it needs them.

A workspace can use anything in the church’s library. A youth service can list the church’s songs and play its backgrounds without copying them. It does not work the other way: the church’s library never depends on a workspace, so a Sunday service never breaks because someone lost access to the youth group’s songs.

Add a workspace

Workspaces are managed in your church’s account, account.biblelook.com, on the Workspaces page. The owner and admins can do it.

  1. Choose New workspace.
  2. Give it a name, such as Youth group, and choose Create.

Rename in its menu changes the name. Delete removes the workspace and everything in it, for everyone and on every computer, after asking. Only the owner can delete one. The church’s library is listed first, under the church’s name, and can’t be renamed or deleted.

Who can use it

Unless you change it, a workspace follows each person’s role: the team can edit it and helpers can’t see it. Owners and admins can always edit it.

Who can use it in a workspace’s menu lists your people. Set someone to Can edit, Can view or No access to change it for that person alone: a choir member who is a helper can view the choir’s workspace, or a team member who doesn’t sing can be left out of it. A change reaches the person’s apps within seconds.

Every computer connected to the church holds every workspace, so a service from any of them runs in the hall.

Copy between libraries

Nothing moves from one library to another: you copy it. Copying a service or a deck shows first what comes with it, such as the songs and pictures it uses that the other library can’t reach. What the other library already has under the same name is used as it is, and the rest is copied in. The copies are new items, so changing one never changes the other.

To move something, copy it, then delete the original. A song a service still uses can’t be deleted until the service stops using it.

You can copy into another church too, if you can edit a library there.

Open something from another library

On a computer, a service, the search and the chat can open an item from a library other than the one you’re looking at. It opens on its own page, and the library under it stays as it was. The top of the page names the item’s library: choose it to go there, with the item picked in its folder.

When you add something to a service from a library the service can’t use, BibleLook copies it first. The copy goes into the service’s library, and the service lists the copy.

More than one church

One person can belong to several churches, such as a worship leader who plays at two. Each invitation adds a church to the same account, and Switch church in your church’s account opens the other one, with its own library and workspaces.
